The complete path

  1. Intake: collect the equipment profile, date, and cost center. Missing information keeps the request in draft.
  2. Review: a designated reviewer approves allocation. Approval does not prove that equipment exists.
  3. Integration: check availability in the inventory system. If the connection fails, retain the approval and queue a deliberate retry.
  4. Record: link confirmed asset LT-018 to request EQ-024 and prepare the IT setup task. Repeated requests must not create duplicate reservations.
Technical detail: boundaries, retries, and the record

In this example, the request application owns intake and approval; an inventory service owns asset availability. A reservation uses a stable request identifier so a retry can be reconciled with an earlier attempt. A timeout is an unknown result, not proof of failure. The application checks the existing reservation before trying again. Access checks run on the server, and the activity record distinguishes requested, approved, reserved, and ready for setup. These are design assumptions to validate for an actual engagement.

This local demonstration uses synthetic data; no integrations are live. It shows how custom software can make a business rule visible and testable.

Operating responsibilities
Agree who manages hardware, network access, model updates, backups, and support. A running model is only part of a deployment.
Agree who manages the hosted environment, user access, integrations, monitoring, and support. Hosting alone implies no certification or residency guarantee.

Connecting knowledge is different from training a model.

Prompts guide a model’s response. Retrieval supplies selected source material at query time. Integration connects the model to an application or workflow. Training or fine-tuning changes model weights and calls for a separate data and evaluation plan. Choose the approach that the task justifies.

For the equipment-request example, a complete screen is only the start of acceptance. The behavior across systems needs evidence too.

  • A requester can submit complete information and recover an incomplete draft.
  • Only the agreed reviewer role can approve allocation.
  • A connection failure preserves the decision and identifies the next owner.
  • Retrying a reservation cannot silently allocate a second device.
  • The final record links the request, asset, and IT setup task.
